Our Information Officer can be reached at info@varsityculture.co.za.
What we collect
- Enquiries: the name, phone number, email address, organisation and message you send through the contact form, by email or by phone.

- CCTV: our premises are under camera surveillance for the safety of staff and customers and the protection of stock.
Why we use it
- To answer your enquiry, prepare a quote and, if you become a client, to prepare your order and invoice.
- To prepare your order, notify you when it is ready and resolve any problem with it.
- To meet legal duties such as tax records, liquor-licence conditions and age verification.
- To keep the website and premises secure.
We process this information because it is necessary to carry out a contract with you, to comply with the law, or because we have a legitimate interest in running the business. We do not sell personal information and we do not send marketing messages unless you have asked for them; you can opt out at any time by replying "STOP" or emailing us.
Who we share it with
Service providers who help us run the business and who process information only on our instructions: our hosting provider, the online-store platform (Take App), the payment providers (Yoco, Capitec), WhatsApp (Meta) for messaging, and our accountants. We will disclose information where the law requires it. Some of these providers store data outside South Africa; where that happens they are bound by laws or contracts that provide adequate protection.
How long we keep it
Enquiries that do not lead to business are deleted within 12 months. Order and invoice records are kept for five years, as required by tax law. CCTV recordings are overwritten in the normal course within 30 to 90 days unless an incident requires them to be kept.
Cookies
This website sets no tracking or advertising cookies. If we add analytics in future, this notice will be updated and a consent prompt will be shown where required. The online store and payment pages are run by their own providers and are governed by their own notices.
Your rights
Under the Protection of Personal Information Act you may ask what information we hold about you, ask for it to be corrected or deleted, and object to processing. Write to the Information Officer at info@varsityculture.co.za. You may also complain to the Information Regulator (South Africa) at inforegulator.org.za.
